# Urbido 3.0: building management with an AI agent > Pasport, property, maintenance, energy, rents and economy in one system. The AI agent prepares the work, you approve it. Urbido 3.0 is a building management system (CAFM) with an AI agent. It covers the pasport, property, maintenance, fault reports, energy, rents and economy on one set of data. ## Buildings under control, not in spreadsheets The register in Excel, inspections in a diary, fault reports in email. Urbido brings them into one system. Its AI agent prepares the work, you approve it. ## Problem: Data everywhere, overview nowhere Drawings sit with the architect, inspections with the contractor, rents with the accountant. When something breaks, the manager pieces the answer together from five sources. ## Onboarding: Bring your data, do not retype it Land registry, spreadsheets, drawings, the BIM model and data from Urbido 2.0. You import and check them instead of copying them by hand. ### 01 of 15: First, know what you own Pasport, Map Plots in the land registry, buildings in a spreadsheet, contracts in a binder. Urbido takes floors, rooms and equipment from IFC. In Urbido you draw rooms straight into the plan, and a new floor version replaces the old one. - Drawing rooms directly in the floor plan - Floor update from a new drawing - Total area of selected rooms - Printable floor sheets and drawing download - Agent: The agent opens the floor plan next to the chat and shows what you ask about. ### 05 of 15: Every item has a tag and a history Property Stocktaking takes weeks and warranties lapse without anyone noticing. Urbido tracks equipment room by room, watches warranties, and you do the inventory on your phone. - Equipment import from a spreadsheet - Alerts for expiring warranties - Inventory in the mobile app - Fault reports from a QR tag - Agent: The agent filters equipment with no photo or an expiring warranty and opens the list alongside. ### 06 of 15: Walk the building before you enter it BIM, Navigation A new technician spends half an hour looking for the switchboard. Urbido guides them through the 3D model, and navigation takes them to the room, even a floor up. - 3D model with sections and saved views - Route to a room across floors - Public link with directions for visitors - Navigation on the phone too - Agent: Tell the agent "find the boiler" and the model selects it and zooms in. ## Operations: Operations you have in hand Reports, maintenance, energy and rents all run on one pasport. The AI agent searches it, does the maths and prepares tasks. ### 07 of 15: Mornings without a queue at reception Reservations, Reception Visitors wait, keys are signed out on paper, the meeting room is double booked. Urbido keeps reservations, the visitor log and key handovers in one place. - Room reservations with invitations - Visitor log with signatures - Key handover protocol - Staff announcements in the app - Agent: Write "meeting room tomorrow at ten" to the agent and it drafts the booking for you to confirm. ### 08 of 15: Anyone can report a fault Reports, AI agent Faults arrive by email, by phone and in the corridor. Then they get lost. The agent links the report to the light fitting in the pasport and prepares the task. You approve with one tap. - Proposed change with a preview before approval - Assistant on every page and on mobile - Knows the open record and filter - Works with data from all modules - Agent: The agent picks an available technician, calls them and agrees on a time. ### 10 of 15: Fixed, photographed, logged Mobile tasks, Documents Paper timesheets get filled in on Friday and half of them are missing. The technician has the task, the procedure and the log on the phone, and the protocol is built from what they enter. - Tasks and activity log on the phone - Checklist right on the report - Downloadable report protocol - Photos and documents on equipment - Agent: The technician asks the agent on the phone what is on today and gets an overview. ### 11 of 15: No inspection slips through Maintenance, Legislation An overdue boiler inspection means risk and a fine. Urbido schedules recurring activities by regulation and shows the dates in a calendar before they become urgent. - One plan for a whole equipment group - Activities linked to a specific regulation - Tracking of regulation amendments - Calendar of dates by building - Agent: The agent lists inspections due within 30 days and proposes tasks for them. ### 12 of 15: Consumption with nothing to hide Energy You see the electricity bill a month after the fact. Urbido collects readings from IoT or by hand, and when consumption runs away it sends an alert. - Readings from IoT, API and files - Meter reading taken by AI from a photo - Analysis and registers to ISO 50001 - Emissions and costs for the whole year - Agent: The agent investigates the alert, finds the cause and proposes a task. ### 13 of 15: Rents and costs to the cent Rents, Economy Service charge statements take weeks in Excel and tenants ask why.
